Committee Meeting  Wednesday 6th September, 2017


A committee meeting for Ibberton and Belchalwell Village Hall was held at the Village hall on Wednesday 6th September, 2017. Those present were the Trustees Mr. D. Old, Chairman, Mr J Yeatman, Miss B. Courage, Mr J Franklin, Trustees; the committee Mr J Heath Chairman,  Mrs J Heath, Mrs. A. Newman, Mrs. K. Old, Mrs. M. Leamon, Mrs.H.Yeatman, Miss C Lodder, Mrs B. Simpson, Mr A Glover, with apologies from Ms J Lee,  Mr. O. Yeatman, Mrs B Knight

1.       The minutes of the last committee meeting were read and signed by the Chairman as correct

2.       Matters arising

·         Electrical work undertaken – all has been completed

·         cleaning rota updated – new rotas handed out – it would be helpful to have one further person

·         cutting of tree overhang at front of hall – discussed what this would entail – Jason Franklin will try and trim

·         Ideas about stage shed – will be considered when shed needs replacing

·         Door frame paint – door frame trim rotten – Derek Old will take a look at it

·         small leak under disabled toilet – Andy Glover will take a look after the meeting

3.       Update on finances

·         Regular are hirings down. The dog’s session has not happened since the beginning of the year. We do now have a church breakfast club monthly and Sunshine Café fortnightly at the moment. Staging and furniture still in demand. This year has seen 2 elections, a wedding and local events. The hall is very busy in September, October and November this year. Oil was delivered in February and the rates now £50 a year. The BBQ raised £438 with a successful Bingo in February.

·         BT Internet upgrade – the connection is very slow. Annette has looked into prices with BT for a fibre connection - £50 to connect, 18 month contract £20 a month plus £208 line rental fee. The hall would receive a new wireless router and connection filters. Mention was made that Wessex Internet would be cheaper – Annette will look into this and bring figures to the next meeting.

·         Gift aid – the meeting decided it would be worth exploring this means of improving finance

       4. Update on premises

·         thanks to Derek for keeping grass/surroundings tidy,

·         2 coats polish applied to floor

·         £1 machine takes new coins – saved further electrical work to replace/remove
